Request for Proposals: Media Monitoring & Media Database Services
EIT RawMaterials invites proposals for the provision of media monitoring and media database services under a 2-year framework agreement (no automatic renewal). The selected supplier will support proactive media relations and reputation tracking across European and international markets. Continuous service during the transition period following contract award is required.
Scope of Services
1. Media Monitoring
- Monitoring of agreed keywords and entities
- Coverage across online, print (digitised), broadcast (where available), blogs, and trade media
- Real-time alerts, daily digests, weekly/monthly reporting
- Tagging and categorisation (topic, geography, sentiment, media tier, spokesperson mentions)
- Dashboards and exportable reports (PDF, PPT, CSV)
- De-duplication, clipping management, and access to paywalled content
2. Media Database
- Searchable journalist database with filters (outlet, region, language)
- Contact list creation and export
- GDPR-compliant data handling
3. Analytics & Reporting
- Volume trends, share of voice, reach/impressions methodology transparency
- Clear definitions of mentions, reach, impressions, and sentiment
- Custom KPI reporting aligned with EIT RawMaterials’ communication objectives
4. Support
- Onboarding, keyword setup, and user training
- Dedicated account manager and SLA-based support
- Access to media analysts
- Quarterly business reviews
The bidder must clearly describe methodology, continuity of historical data, and benchmarking integration.
