HRIS Integration and Implementation
EIT RawMaterials seeks a unified, GDPR-compliant Human Resources Information System (HRIS) for 150 employees to streamline core HR, talent management, and analytics.
Scope of work
EIT RawMaterials aims to replace its fragmented HR tools with a unified, end-to-end Human Resources Information System (HRIS). The current mix of systems and manual processes creates inefficiencies, data silos, and compliance risks. A new HRIS should streamline core HR operations, strengthen data integrity, and offer intuitive experience for employees and HR teams.
The selected vendor will deliver a comprehensive, GDPR compliant solution that supports scalable, data driven HR management.
The HRIS should:
- Consolidate all HR tools into one integrated platform
- Automate and optimize key processes such as onboarding, performance management, goal setting, and reporting
- Improve data accuracy and analytics by removing manual work and silos
- Provide a user-friendly interface with centralized access to HR information
- Ensure secure, auditable handling of sensitive data in line with GDPR
- Support the HR team to focus on strategic priorities like talent development and workforce planning
Detailed scope of work
- Unified HRIS Platform
Consolidate all existing HR tools into one integrated, global system to eliminate fragmentation, inefficiencies, and data silos. - End‑to‑End HR Process Automation
Automate core HR workflows including onboarding, offboarding, performance cycles, goal setting, and reporting. - Comprehensive Core HR Module
Provide centralized employee master data, digital personnel files, organizational structures, document management, and full audit trails. - Digital Onboarding & Offboarding
Deliver automated, fully digital processes with checklists, e‑signatures, task workflows, access provisioning/deactivation, and secure data archiving. - Performance & Talent Management
Support continuous and cyclical performance reviews, goal tracking, feedback, 360° reviews, succession planning, and calibration tools. - Time & Absence Management
Offer configurable leave policies, time tracking, project timesheets, payroll integration, mobile access, and automated notifications. - Internal Communication Hub
Enable centralized announcements, policy updates, reminders, templates, and optional newsfeed widgets. - Advanced Analytics & Reporting
Provide real‑time dashboards, customizable reports, workforce analytics, export capabilities, and predictive analytics where available. - GDPR‑Compliant Data Protection
Ensure secure data handling with retention settings, consent management, role‑based access, audit logs, and EU‑compliant data residency. - Workflow Automation & Customization
Allow HR to build configurable workflows, custom fields, forms, dashboards, and tailored analytics templates. - Integrations & Interoperability
Support integrations with payroll, SSO/identity management, LMS platforms, and offer APIs for future system connections. - Support, Learning, and Skills Framework
Include a skills/competency model, learning management capabilities, training tracking, vendor support channels, SLAs, knowledge base access, and regular system updates.
